First Year Students’ Coordinating Dean Office was inaugurated as independent dean office based on reform conducted by former Ministry of Science and Higher Education regarding common courses delivery in higher education in 2019/2020. It was handled by ad hoc dean and coordinators up to December, 2020. The office was reorganized as per direction of former Ministry of Science and Higher Education and recruited personnel via authorized competition at university level. Currently, this office is being handled by six personnel (dean, four coordinators and secretary). The office is directly accountable to Academic Affairs Vice President office. The general objective of this office is to coordinate overall teaching-learning process of first year students’ which encompasses the following key integrated tasks.
- Supervise all activities of the programs;
- Approve status of the students under the program
- Prepare periodic reports on its activities and submit the same to the AVP
- Attend to all academic problems that concern the freshman division at undergraduate studies level.
- Oversee settings of entrance examinations and screen students and approve for admission to different departments
- Dean would be engaged in controlling the activities of the coordinators and the other administrative duties.
- Formulate standards, and working procedures relevant to the program under it in line with the University-wide policies, rules and regulations and ensure that their achievement
- Set up academic staff disciplinary committee which is accountable to the dean.
- Monitor the activities of Discipline Committee related to students and staff under
- Prepare combined physical plan and budget plan of the program and ensure its implementation; also prepare performance report on regular basis and submit to the concerned offices;
- Oversee the proper distribution and utilization of teaching-learning resources and facilities
- Facilitate, monitor and evaluate the performance of academic staff & administrative support team assigned under it.
- Compile, produce and submit the activities, reports and essential statistics of the program to the AVP as well as to the concerned organs of the university.
- Check and regulate consistency across departments in academic administration, student handling in teaching –learning process.
- Plan, organize and coordinate activities of finance and procurement depending on the approved budget of the
- Facilitate and oversee the proper and optimal distribution and utilization of teaching-learning materials and equipment, facilities, classrooms and laboratories
- Oversee and participate admission and placement of students in accordance with the applicable University policy and regulations;
- Welcoming and giving overall orientation
- Coordinating registration process
- Preparing class and exam schedule
- Assigning instructors to delivery respective course
- Working closely with all concerning office regarding freshman students
- Follow up class continuity
- Advising students (freshman)
- Assigning invigilators
- Supervising overall procedures of exam (mid-exam and final)
- Follow up grade submission
- Giving orientation regarding field choice
- Coordinating the process of giving entry exam (competency exam to join Law, Medicine, Pharmacy and Institute of Technology).
- Coordinating and facilitating the process of field placement at the end of second semester of first year.
- Supervise all activities of the programs;
